Personal Information Protection Policy

With regards to the personal data of clients and business contacts used in the course of the Company's business (such as software development, sales, payroll outsourcing, HR consulting and IT engineering services), the Company acknowledges its corporate and social responsibility for protecting personal information is quite significant and shall observe all laws, ordinances and standards related to personal information protection and shall establish voluntary rules and/or frameworks relating to international trends and sets forth the following personal information protection management systems, based on
JIS Q15001:2006 and declares that it will implement, audit, revise, improve and uphold the said policy.

  1. 1. In order to implement this declaration, the Company shall set forth and publicize the “K.K. CrossVision International Personal Information Protection Policy,” and shall also familiarize its employees, including executives, regular and part-time employees, temporary workers, as well as related parties, and strive to continuously implement and improve said regulations.
  2. 2. The company shall only acquire personal information by legal and fair means, and not by any illegal means, and shall either obtain consent from the individual who is the subject of the information, with regard to how the information will be used, and shall only post required information on the Company’s Internet web site.
  3. 3. Personal information shall only be used by those parties empowered to perform a specific operation, within the scope of the purpose of the acquired information, and as long as necessary to conduct said operation. Further, the Company prohibits the dispersal of personal information to any third party.
  4. 4. In order to prevent the loss, destruction, alteration, leakage and/or modification of said personal information, the Company shall formulate a “Security Management Plan” (the Security Policy) and shall take appropriate information security measures, such as procedures and countermeasures against unauthorized access and computer viruses.
  5. 5. In the event that the Company is required to outsource operations and needs to share personal information with a third party, or is required to place said personal information in escrow for a third party, the Company shall investigate said third party and require the signing of any necessary documents and/or agreements, including any other legal measures required.
  6. 6. The Company must obtain the consent from each person for whom it indirectly acquires personal information for, such as outsourcing the acquisition of personal information to a third party receiving the personal information, acquiring publicly available personal information, and/or performing the information processing in order to acquire personal information. However, the exception to this rule would be those cases where the request to perform acquisition of personal information in which the party or client has already obtained the consent from the person and the release of the said information does not harm the interest of the person.
  7. 7. The Company acknowledges that each person (an individual whose personal information is being handled) has the right to choose to disclose, amend, stop the use of (cease and desist) and/or have purged their personal information and the Company shall comply with such requests from the subject of the information without objection.

Handling of Personal Information

1. Purpose of Use
The Company’s policy for the use for the Personal Information is stated below. The Company shall not use Personal Information without the consent of the individual for any other purposes other than the following.

  1. (a) SaaS payroll, attendance, human resource and workflow applications, and related services including social insurance, 401(k) and payroll outsourcing, consulting and help desk service.
  2. (b) Hiring of Company employees (includes recruitment) and Human Resources Management.

2. Limitation of Use by Third Parties
The Company shall not provide personal information without the consent of the individual to a third party except, in the following cases:

  1. (a) When based on rules and regulations.
  2. (b) When it is difficult to obtain the individual's consent but required in the interest of protecting a person's life, body, or property.
  3. (c) When it is difficult to obtain the individual's consent but required in order to protect the public health or needed for the safety of a child.
  4. (d) When required to cooperate with a registered governmental agency in the performance of official work and obtaining the consent from the individual hinders the work.

The Company acquired the Privacy Mark certification from the Japan Information Processing Development Corporation (JIPDEC). The Privacy Mark is awarded to companies that appropriately handle personal data.
